Building Use Policies & Requests

Arvada UMC provides physical, emotional, and spiritual spaces for all people to experience the holy and feel safe. Our building is an extension of our missional priority that all people matter to God and to our church community. We open our doors to groups and organizations to gather for learning, concerts, events, and meetings.

We pride ourselves on being a community leader and partner by providing accessible, hospitable, and inclusive spaces within our building. To inquire about one of the following spaces, please read our Building Use Fees/Policies and complete a Room Request/Planning Form. AUMC also hosts weddings, funerals, and memorials.

Room Request/Planning Form

Please note, a planning form is not a guarantee of a scheduled event until it has been approved by the church office and confirmed to the event leader.  Following confirmation by the church office, payments and deposits must be received at least 2 weeks in advance for the Sanctuary and the Center; 1 week in advance for all other rooms. Please see below for more information about our spaces and associated fees.

Booking a room at aumc

A refundable damage/contract compliance deposit of $200 is required for use of the Sanctuary, Center, and/or 209 and/or equipment.

Kitchen Training for Kitchen Use (one time) for Center and 209 - $25 at least 1 week ahead of event.

Block schedule bookings must include time for set up, event, and clean up.  Room prices include basic AV package (if requested), including microphone, speaker, screen, and projector.

When considering fees for Building Use, please refer to the following organizational category:
Non-Profit Group: a group producing a certificate of tax exemption under 501c3 of the Federal Internal Revenue Code, as well as UMC District and Conference events
For-Profit Group: a group who does not have a tax-exempt letter
AUMC Partner:  A person or family who is a member or non-member, and who supports AUMC with their presence, gifts, service, and witness and is renting the church for personal reasons
 Non-profit Arts Organization: A local arts organization producing a certificate of tax exemption under 501c of the Federal Internal Revenue Code

Available Rooms & Kitchens

All of our spaces have a number of set-up options to host a variety of gatherings. Including audio/visual capabilities, commercial grade dishwashers, tables, chairs, podiums, and more- we have a space to meet your event's unique needs. Please provide us with as much information as you can in your Room Request & Planning Form- we will work with you to find a space that is available and best suited for your gathering.

The Sanctuary

The Sanctuary- Details & Audio/Visual
Square Footage: 5175
Seating:  500 – pews.  Stage could accommodate 40 people.
Damage Deposit: $200  
Other: Sound system and screens are available. AUMC sound technician must run sound and visual.  Grand piano on stage.

Sanctuary Sound - $70 per hour fee  includes use of Sanctuary sound equipment and sound technician to run it.  Please note that hours blocked must include set-up and strike.

Sanctuary Visual - $30 per hour fee includes use of Projectors, computer, and aid with setting it up. Group should provide person to run it.

Sanctuary Livestream/Video Recording - $70 per hour fee includes use of 3 cameras, computers to run livestream and livestream technician (no post-production).

***AUMC has the capability to create sound recordings. Groups wishing to utilize that service, including recording and post-production, will need to negotiate a rate with our sound technician directly.  We will provide that information to the group as needed.

Building use policy

Arvada United Methodist Church (AUMC) building serves as a place of worship and a center for church and non-church related community and arts programs.  AUMC strongly welcomes and honors all people regardless of race, ethnic background, gender, sexual orientation, gender identification, mental and physical ability, creed, age, or economic status.  Arvada United Methodist Church reserves the right to decline use of the building to groups or individuals whose values or actions are contrary to those of this church or to its values and mission, values, and vision.

Scheduling for spaces is dependent on room availability and contract compliance after submission and approval of a PLANNING FORM.  Building use fees help defray expenses of cleaning, hospitality, risk reduction, and utilities, while supporting the ministries of AUMC.

Booking Your Meeting, Class, or Event:
A Planning Form must be filled out and submitted to the church at least 2 WEEKS before the event.  Any changes made to a submitted and approved planning form must be received at least 1 week prior to your actual event.
For all non-church groups, a refundable security deposit of $200 is required for the use of the Sanctuary, the Fellowship Center and/or 209, and must be paid along with any rental fees at least two weeks in advance.  Fees for other rooms must be paid a week in advance.  If the Center or 209 kitchen is used, there will be a $25 charge. (Deposits can be held for the duration of a season of building use.
Kitchen use in the Center or 209 will include a one-time training fee of $25 that must be held a week in advance.
Failure to adhere to these regulations may result in forfeiture of the security deposit.

Priorities for use:
Church Programs and Activities always takes precedence and includes weddings, funerals, and Conference, District, or other gatherings of the United Methodist Church.   PLEASE NOTE:  AUMC reserves the right to relocate or cancel activities in the facility to accommodate church related activities (i.e., funerals).  The church office will attempt to notify the group prior to their meeting as soon as possible.

Regulations Governing Use:
  1. All activities will be in compliance with applicable City of Arvada ordinances and state laws.
  2. Rooms will be offered in existing condition, with known and unknown hazards.
  3. All groups/individuals must upload demonstration of insurance coverage OR provide signed insurance waivers from our website, PRIOR to the event taking place.
  4. Each group is responsible for returning rooms to their original condition before departure.  This includes moving chairs, tables, etc. to their original positions.
  5. Report damage, breakage, or accidents of any kind to the church office staff. Damage or cleaning fees may be assessed or retained from a deposit.
  6. Report all physical injuries to the church office immediately after attending to the injury.
  7. Smoking is not allowed in the church building.  Smoking is permitted only 25 feet from Church entrances. Dispose of cigarette butts in appropriate containers.  Use or possession of alcohol, drugs, or firearms on the property is strictly prohibited.
  8. The church property may not be used in any manner that creates a nuisance or hazard to the community or the working staff.  Do not nail, staple or fasten banners, posters, or wall hangings to the interior or exterior of the building.
  9. AUMC space shall not be used by any external Partisan Political Groups, including groups that: (a) would favor one candidate over another; (b) oppose a candidate in some manner; or (c) have the effect of favoring a candidate or group of candidates.  Political signs may not be placed anywhere on church property.  The building can be used as a polling place.
  10. Activities are restricted to areas contracted in the planning form.
  11. Activities involving children or youth must be “Safe Gathering” compliant and approved by the church office for the contracted space and time.
  12. Church staff will set up special room configurations in advance if time allows.  Please be specific on the Planning Form for the set-up that you require.
  13. Groups will furnish their own supplies (food, drinks, cups, dishes, utensils, paper, copies, pens, etc.) unless arranged otherwise.  AUMC is a “green” church.  Please use compostable cups, plates and utensils.  If possible, please do not bring Styrofoam cups, plates, or plastic utensils.  You can use our recycle and compost bins for items as posted.
  14. All trash must be removed from the building.  Trash piled outside the dumpster is unacceptable.
  15. No animals, except for service animals, will be allowed inside any area of the church building unless prior specific approval is notated on the planning form and subsequently granted.
  16. Church furniture, equipment, and furnishings are not to be removed from the church building without special permission.  Please do not sit on tables.  Please do not apply tape to painted or glass surfaces.
  17. Surveillance cameras are in use at all times.
